How to upload a custom voicemail greeting to 3CX
Steps last checked on against the 3CX user manual.
3CX lets each user upload their own voicemail greeting from the web client, with a separate greeting for each status (Available, Away, Out of office, and so on). Admins upload greetings for the Digital Receptionist (IVR). Both need the same file format.
Upload your voicemail greeting (web client)
- Sign in to the 3CX web client.
- Click your avatar in the top-right corner and choose Settings.
- Open Greetings.
- Next to the status you want, upload your WAV file. You can also record from your computer's microphone or from your desk phone here, or switch back to the default greeting.
- Repeat for any other status that should play the same greeting.
In the Windows softphone, the same settings are under your avatar, Configure → Greetings.
Upload a Digital Receptionist (IVR) greeting
- In the 3CX admin console, go to Call Handling.
- Click Add Digital Receptionist, or open an existing one.
- Under Prompt, upload your greeting file.
- Set up the menu options and destinations, then click Save.
File requirements
- Format: WAV, PCM, 8kHz, 16-bit, mono. 3CX says not to use MP3.
- Length: 3CX doesn't publish a limit. Keep greetings under 30 seconds.
- File name: avoid the characters
< > : " / \ | ? * &. Something likeaway-greeting.wavis safe.
Our generator's WAV download is exactly this format, so you can upload it without converting.
Common problems
- The greeting is silent, distorted, or rejected: the file is probably an MP3 or a WAV with a different sample rate. Upload the 8kHz WAV from our generator.
- No confirmation after uploading: some users report the upload finishes without a message. Refresh the page and check the greeting is listed for the status.
- The wrong greeting plays: 3CX picks the greeting by your current status. Check which status you're in, or upload the same file for every status.
- The file name won't save: remove special characters such as
&or?from the name.
Need the file first? Make a greeting and download the 8kHz WAV.
