How to Change Your Voicemail Greeting

To change your voicemail greeting, open your phone's voicemail settings (or call your voicemail box), choose the greeting option, record a new message, and save it.

  1. Open the greeting settings. On iPhone, open Phone → Voicemail → Greeting. On Android, open the Phone app's Settings → Voicemail, or use your carrier's voicemail app. On any phone, you can also call your voicemail box and pick Personal options or Greetings from the menu.
  2. Choose a custom greeting instead of the default one that only reads out your number.
  3. Record your message. Keep it to 15–30 seconds: who you are, that you can't answer, and what the caller should leave.
  4. Play it back, then save. Most phones and carriers let you re-record before saving.
  5. Test it. Call your number from another phone and let it ring through to voicemail.

Using a business phone system or VoIP app? Many of them let you upload an audio file instead of recording one. You can generate that file with our tool and upload it. See Upload a custom audio file below.

Can I upload an audio file to Google Voice?

Not directly. Google Voice records greetings through your microphone and doesn't have an upload button. To use a greeting from our generator, play the file through speakers near your microphone while you record on the computer. If you're comfortable with audio settings, you can also route your computer's audio output into the microphone input with a virtual audio device for a cleaner result.

08

How to use a downloaded MP3 or WAV as your greeting

Whether you can upload an audio file depends on your phone service, not your phone.

Services that usually accept uploads

Most business phone systems let you upload an audio file as a voicemail greeting, auto-attendant greeting, or on-hold message. The setting is typically in the admin portal or web app rather than the phone itself. Menu names and supported formats vary by plan and version, so check your provider's help center.

Which format should I download?

  • MP3 for most hosted VoIP services and apps. It's small and widely accepted.
  • 8kHz mono WAV for PBX systems, desk-phone systems, or any provider whose instructions mention 8kHz, 8000 Hz, telephone quality, or PCM. Uploading a WAV in the exact format avoids muffled audio or a rejected upload.

Services that usually don't accept uploads

  • Carrier voicemail (Verizon, AT&T, T-Mobile and others), including iPhone Visual Voicemail and Android visual voicemail apps, typically only lets you record a greeting by phone.
  • Google Voice records through your microphone and has no upload option.

For these, the workaround is to play the downloaded file from another device while your phone records. Use a quiet room, set the playback volume to about half, and hold the speaker a few inches from the phone's microphone. Play it back afterward to check the levels.

Set up and not sure what to say?

Browse ready-made scripts or type your own and turn it into a natural-sounding audio file in seconds.

Troubleshooting

The Greeting option is missing on my iPhone

Visual Voicemail probably isn't active on your line, or voicemail hasn't been set up yet. If it's a new line, follow our how to set up voicemail guide first, then restart the phone. If it still says "Call Voicemail," change the greeting through the voice menu or ask your carrier to enable Visual Voicemail.

Callers still hear my old greeting

Check that the new greeting is set as active, not just saved. Many systems keep several greetings and only play the selected one. Also check whether a separate busy, no-answer, or after-hours greeting is overriding it, and give visual voicemail a few minutes to sync.

I forgot my voicemail password

Carriers usually let you reset it from your online account or app, or by calling customer support. On iPhone, you can also try Settings → Apps → Phone → Change Voicemail Password. The exact location varies by iOS version.

My recorded greeting sounds muffled or too quiet

Record in a quiet room and hold the phone a few inches from your mouth. If you're recording a generated file from another device, raise the playback volume gradually and keep the speaker close to the microphone. For business systems, upload the file directly instead.

My phone system rejected the audio file

The format is likely wrong. Many PBX systems require WAV, 8kHz, 16-bit, mono. Download the 8kHz WAV version instead of the MP3, and check that the file is under your provider's length and size limit.

Questions

Frequently asked questions

How long can a voicemail greeting be?

Limits vary by carrier and phone system, but callers rarely listen past 30 seconds. Aim for 15–30 seconds, about 40–75 words.

Can I change my voicemail greeting without calling voicemail?

Yes, if your phone supports visual voicemail. On iPhone, use Phone → Voicemail → Greeting. On Android, use the Phone app's voicemail settings or your carrier's voicemail app.

Can I set a different greeting for after hours?

Personal carrier voicemail usually supports only one active greeting at a time, so you switch manually. Business VoIP systems such as RingCentral, Zoom Phone, and 3CX can usually play different greetings on a schedule.

Can I use an AI-generated greeting on my cell phone?

Yes, but most carriers don't accept uploads, so you'll need to play the downloaded file near your phone while it records. Business phone systems usually let you upload the MP3 or WAV directly.

What should my voicemail greeting say?

Your name or company, that you can't take the call, what to leave, and when you'll call back. Our business voicemail greeting examples include ready-to-use scripts for most situations.
