How to Upload a Custom Voicemail Greeting
To upload a custom voicemail greeting, make an audio file in a format your phone system accepts, sign in to the system's web portal or admin center, open the voicemail greeting settings, choose a custom greeting, upload the file, and save. Then call your own extension and let it go to voicemail to check it.
- Make the audio file. Write a short script (15 to 30 seconds), generate it with an AI voice, and preview it. Download the format your system asks for (see below).
- Find the greeting settings. On business phone systems this is usually in the web portal or desktop app, under voicemail, greetings, or call handling. Company and auto attendant greetings are usually in the admin portal.
- Choose a custom greeting and upload. Look for Custom, Import, Upload, or Add audio.
- Save and set it as active. Some systems keep several greetings and only play the selected one.
- Test it. Call the number from another phone and listen all the way to the beep.
Which file format to download
- RingCentral and Zoom Phone: MP3 or WAV both work.
- Microsoft Teams auto attendants and call queues: MP3 or WAV, up to 5 MB.
- Grasshopper: MP3. WAV isn't on its list of accepted formats.
- 3CX: 8kHz, 16-bit, mono WAV only. 3CX says not to use MP3.
Our generator gives you both an MP3 and a WAV in exactly that telephone format (8kHz, 16-bit, mono).
Carrier voicemail on a cell phone, including iPhone and Android, doesn't take uploads. For those, see how to change your voicemail greeting.

Troubleshooting
My phone system rejected the file
The format is the usual cause. 3CX needs an 8kHz, 16-bit, mono WAV; Grasshopper needs an MP3. Check the size limit too: 5 MB on Grasshopper and Microsoft Teams, 10 MB on Zoom, 20 MB on RingCentral.
The greeting sounds muffled or too quiet
Phone lines carry narrow-band audio, so every greeting loses some brightness. Use a clear, even voice and avoid background music under the words. If your system asks for 8kHz audio, upload our 8kHz WAV so the system doesn't have to convert it.
Callers still hear the old greeting
Many systems keep several greetings and only play the active one. Set the new greeting as active or custom, save, and check whether a separate after-hours or holiday greeting is playing instead.
There's no upload option
Some apps only record: the RingCentral mobile app, and personal voicemail in Microsoft Teams. Use the desktop or web app instead, or for Teams, an auto attendant. On Zoom, your admin may need to turn on the personal audio library.
Questions
Frequently asked questions
Which format should I upload, MP3 or WAV?
MP3 for Grasshopper. 8kHz, 16-bit, mono WAV for 3CX. Either for RingCentral, Zoom Phone, and Microsoft Teams auto attendants. Our generator gives you both files for every greeting.
Can I upload a voicemail greeting on my cell phone?
Not to carrier voicemail. iPhone, Android, and carriers like Verizon, AT&T, and T-Mobile only let you record a greeting. Play the downloaded file near your phone while it records; our guide on how to change your voicemail greeting shows the steps.
How long should an uploaded greeting be?
Most systems allow minutes, but callers rarely listen past 30 seconds. Aim for 15 to 30 seconds, about 40 to 75 words.
Can I upload different greetings for business hours, after hours, and holidays?
Yes, on most business systems. RingCentral and Zoom Phone have separate settings for business and after hours, 3CX has a greeting per status, and Teams auto attendants have separate call flows for after hours and holidays. Our full greeting set makes all three in the same voice.
Is it OK to use an AI voice for a business greeting?
Yes. It sounds consistent, and you can regenerate it in seconds when your hours or staff change, without re-recording. We only use stock AI voices, never clones of real people.
