How to upload a custom greeting to Microsoft Teams
Steps last checked on against Microsoft's Teams documentation.
In Microsoft Teams, you can't upload an audio file as your personal voicemail greeting. Teams only lets you record it. Admins can upload audio files for auto attendants and call queues, which is where a generated greeting fits best.
Personal voicemail greeting (record only)
- In Teams, select Settings and more (…) → Settings → Calls.
- Under voicemail, select Manage voicemail.
- Under Voicemail greeting, choose Record a greeting and follow the prompts.
To use a greeting made with our generator, play the file from another device close to your microphone or headset while Teams records. Use a quiet room and keep the volume moderate.
Auto attendant greeting (upload)
- In the Teams admin center, go to Voice → Auto attendants.
- Click Add (or open an existing auto attendant) and choose Advanced setup.
- In the call flow for business hours, after hours, or a holiday, choose Play an audio file, then Upload file.
- Select your MP3 or WAV and save.
Menu greetings and announcements use the same Play an audio file option. Call queue greetings are uploaded the same way in Voice → Call queues.
File requirements (auto attendants and call queues)
- Format: MP3, or uncompressed PCM WAV (8, 16, or 32-bit, mono or stereo). Our 8kHz 16-bit mono WAV qualifies.
- Size: up to 5 MB.
- Length: Microsoft doesn't list a limit; the 5 MB cap is what you'll hit first.
- WMA files can't be uploaded from November 1, 2026.
Common problems
- No upload option for my own voicemail: that's expected. Personal greetings can only be recorded. Use an auto attendant or call queue for an uploaded file.
- The upload is rejected: check the file is MP3 or PCM WAV and under 5 MB.
- A file uploaded with PowerShell disappeared: files imported with
Import-CsOnlineAudioFileare deleted after 48 to 72 hours unless you attach them to an auto attendant or call queue.
Need the file first? Make a greeting and download the MP3 or WAV.
Holiday call flows in an auto attendant are a good place for a seasonal greeting. See our holiday voicemail greetings for scripts.
