How to upload a custom voicemail greeting to RingCentral
Steps last checked on against RingCentral's help center.
RingCentral (RingEX) lets you import an MP3 or WAV file as your voicemail greeting from the desktop app, the web app, or the Admin Portal. The mobile app can only record a greeting, not import one.
Upload your own voicemail greeting (desktop or web app)
- Open the RingCentral app and go to Settings.
- Select Voicemail, then Voicemail greeting.
- Set the Voicemail greeting dropdown to Custom.
- Open the Importing tab and choose your MP3 or WAV file.
- Click Save.
Upload a greeting from the Admin Portal
For your own extension: open the Admin Portal, then My Extension → Settings → Phone → Voicemail settings → Voicemail greeting. Choose Custom, then Importing, upload the file, and save.
For another user: go to Users → Users with Extensions, select the user, open Phone → Voicemail greeting, and follow the same Custom → Importing steps.
Company and IVR greetings
The main company greeting usually plays from an IVR menu. Upload the file to the prompts library first:
- In the Admin Portal, go to Phone System, then under Company open Prompts Library and click Import Prompts.
- Go to IVR Menus, select the menu, open Prompt, set Prompt Mode to Audio, and choose your prompt.
- Click Save.
Call queue greetings work the same way: Set Greeting → Custom, then import the file.
File requirements
- Format: MP3 or WAV.
- Size: up to 20 MB for a voicemail greeting.
- Length: RingCentral doesn't list a limit for imported files (greetings recorded in the app can run up to 5 minutes). Callers rarely listen past 30 seconds, so keep it shorter.
- Audio: RingCentral's guidance recommends 8kHz mono audio (16-bit PCM or 8-bit u-law). Our 8kHz WAV matches the PCM option; the MP3 also works.
Common problems
- No Importing tab: you're probably in the mobile app, which can only record. Use the desktop app, the web app, or the Admin Portal.
- The upload is rejected: check the file is MP3 or WAV and under 20 MB. If a WAV fails, try the MP3.
- Callers still hear the old greeting: make sure the dropdown is set to Custom and you clicked Save. A separate after-hours greeting may also be playing outside business hours.
- The company greeting didn't change: company greetings play from the IVR menu prompt, not your extension's voicemail. Update the prompt under IVR Menus.
Need the file first? Make a greeting and download the MP3 or WAV.
Menu names change between app versions. If a step doesn't match, search RingCentral's support site for "voicemail greeting."
