How to upload a custom voicemail greeting to Zoom Phone

Steps last checked on against Zoom's support articles.

Zoom Phone accepts MP3 and WAV files for voicemail greetings, auto receptionist prompts, and call queues. Uploaded files go into an audio library, so you can reuse one greeting in several places.

Upload your voicemail greeting (web portal)

  1. Sign in to the Zoom web portal and open Profile → Zoom Phone.
  2. Go to the Settings tab, then Call Handling.
  3. Under When a call is not answered, choose Forward to voicemail/videomail.
  4. Next to Greeting & Leave voicemail instruction, click Edit, then Add Audio.
  5. On the Upload tab, enter an Asset Name, Category, and Language, upload your file, and click Add.
  6. Save your call handling settings.

From the Zoom Workplace app

Click your profile picture, then Settings → Phone → Voicemail and forwarding. On the Business hours or Closed hours tab, open Voicemail greeting and choose Add new greeting to upload a file. Zoom is still rolling this out, so if you don't see the option, use the web portal.

Auto receptionist and shared greetings

Admins upload audio in the Admin Center → Product configuration → Phone system → Assets Library, then choose it as the Greeting Prompt for each time window of the auto receptionist (business hours, closed hours, holidays).

File requirements

  • Format: MP3 or WAV.
  • Size: under 10 MB.
  • Length: Zoom doesn't list a limit for uploads (in-app recordings can run up to 4 minutes). Keep greetings under 30 seconds.
  • Library: up to 100 files in a personal library.

Tip: tell callers to leave a message

Zoom plays a tone after your greeting but doesn't add its own "leave a message" prompt. End your greeting with a clear instruction, like "Please leave your name and number after the tone."

Common problems

  • No upload option: your admin may need to turn on the personal audio library, or your account may not have a Zoom Phone license.
  • Option missing in the app: the Workplace app upload is still rolling out. Use the web portal.
  • The upload fails: check the file is MP3 or WAV and under 10 MB, and that your personal library has fewer than 100 files.
  • Callers hang up without leaving a message: add "please leave a message after the tone" to the end of your greeting.

Need the file first? Make a greeting and download the MP3 or WAV.
